This policy explains what information Smoothquill LLC ("Smoothquill," "we," "us") collects when you use our website and services, how we use it, who we share it with, and the choices you have. It applies across both our notary marketplace and our investigator referral service.

1. Information we collect
Information you provide
- Contact details — your name, email address, and phone number when you book a notary, request an investigator, join a waitlist, or contact us.
- Booking details — the service location, document type, timing, and similar details you enter to arrange a notarization.
- Notary applicant information — if you apply to join as a notary, we collect your commission details, service area, rates, and identity-verification information (processed by Stripe, described below).
- Payment information — handled directly by our payment processor, Stripe. We do not store full card numbers on our systems.
- Messages — anything you send us by email, form, or SMS.
Information collected automatically
- Technical data — IP address, browser type, device information, and pages viewed, collected through standard server logs and, where enabled, analytics.

2. How we use your information
We use the information above to:
- Provide the service — match you with a notary or connect you with a licensed investigator, process bookings, and take payment;
- Communicate with you about your request, including confirmations and, where you have opted in, SMS notifications;
- Verify notary applicants' identity and eligibility;
- Operate, secure, and improve our website and services;
- Comply with legal obligations and enforce our terms.
3. SMS / text messages
If you opt in to text messages, we use them to send booking-related alerts. Consent is not a condition of using the service. Message frequency varies with booking activity. Message and data rates may apply. You can reply STOP at any time to opt out, or HELP for help. We deliver these messages through Twilio (see processors below). We do not share your phone number with third parties for their own marketing.
4. How we share information
We do not sell your personal information. We share it only as needed to run the service:
- With notaries — when you book, the notary who accepts your booking receives the details needed to perform the service (such as your name, location, and document type).
- With licensed investigators — if you request an investigator, we share your request details with a licensed investigator in your jurisdiction so they can contact you. The investigator is an independent professional, not our employee; their handling of your information is governed by their own practices and applicable law.
- With service providers (processors) — listed below.
- For legal reasons — if required by law, to enforce our terms, or to protect rights, safety, and security.
- In a business transfer — if Smoothquill is involved in a merger, acquisition, or sale of assets.
5. Service providers we use
We rely on the following processors to operate the service. Each handles your information under its own privacy terms:
- Stripe — payment processing and identity verification.
- Twilio — SMS/text message delivery.
- Netlify — website hosting and form submissions.
- Supabase — application database and authentication.
- Google — fonts and, where enabled, distance/mapping and analytics services.
6. Data retention
We keep your information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it.
7. Your choices and rights
- Access, correction, deletion — you may request a copy of your information, ask us to correct it, or ask us to delete it, subject to legal limits.
- SMS opt-out — reply STOP to any text.
- Cookies — manage these through your browser; see the Cookie Notice.

8. Security
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Children
Our services are not directed to children under 18, and we do not knowingly collect their personal information. Parental-consent notarizations concern documents for minors but are requested and completed by adults.
10. Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be highlighted where appropriate.
